This page explains what personal data SOWA Films collects when you use this website, why, and what currently happens to it.
Who We Are
SOWA Films Sp. z o.o. operates this website (sowafilms.com) and processes the personal data described below. If you have any questions about this policy or how your data is handled, contact us at hello@sowafilms.com.
What We Collect and Why
When you use the Start a Project form, we collect the information you choose to provide: your name and email address (required), and optionally your company, phone number, what you’re planning, your project objective, where the material will be used, timing, location, budget, and any other details you add. We use this solely to understand your enquiry and respond to it.
We do not use this form to build a marketing list. If you separately and explicitly tell us you’d like to receive occasional marketing emails, we record that choice — see “Marketing Communications” below. Nothing you submit is added to any CRM or lead database; we do not operate one.
How We Handle What You Submit
Your submission is emailed directly to our team; no copy is kept on the website itself. If a required field is missing when you submit, we temporarily hold what you already typed for up to five minutes so you don’t have to retype it after fixing the error — this temporary copy is deleted automatically as soon as it’s used, or after five minutes, whichever comes first. We do not maintain a separate database of enquiries.
Marketing Communications
The Start a Project form includes a separate, optional checkbox asking whether you’d like to receive occasional marketing emails from us. It is never pre-selected and never required — leaving it unchecked has no effect on your enquiry. If you do check it, we record your email address, that choice, and when you made it, alongside your enquiry, so we have a clear record of your consent. You can withdraw this consent at any time by contacting hello@sowafilms.com.
Who Receives This Data
Your submission is sent to our team’s inbox, which is hosted on Microsoft 365. Our website itself is hosted by SiteGround, which processes your submission at the moment it’s sent on its way to that inbox. No CRM, and no analytics or advertising service, currently receives this data. Ahead of adding any such tool, this section will be updated once it’s actually configured, before it goes live.
Cookies and Analytics
As of today, this website uses no analytics or marketing cookies, and no advertising trackers. We plan to add privacy-respecting analytics (Google Analytics 4, delivered through Google Tag Manager) governed by a consent-management tool that will ask for your choice — including a clear option to decline — before any non-essential cookie is set. We do not plan to use advertising trackers such as Meta Pixel. This section, and a separate Cookie Policy, will be updated with the exact tools, cookie categories, durations and any data this creates once that configuration is finalised and tested, before either goes live.
Vimeo
Some project pages link out to videos hosted on Vimeo. These are ordinary outbound links that open Vimeo’s own website in a new tab — we do not embed a Vimeo player on any page, so visiting these pages does not itself send any information to Vimeo. If you click through, Vimeo’s own privacy policy governs what happens next.
International Data Transfers
Our hosting and mailbox providers may process or store data in countries other than your own, consistent with their own standard safeguards and applicable data protection law. If you’d like more detail about a specific provider’s own data-handling practices, contact us at hello@sowafilms.com.
How Long We Keep Your Data
Form submissions that fail validation are held for a maximum of five minutes, purely so you don’t have to retype them, and are then automatically deleted. A successfully submitted enquiry exists only as an email in our team’s inbox. If you’d like a copy of your enquiry deleted, contact us at hello@sowafilms.com and we will action your request.
Your Rights
Depending on where you are located, you may have rights to access, correct, or request deletion of your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us at hello@sowafilms.com.
